Episode 276 | Ask a CFO - Rapid Fire Round with Danielle Hayden

  • How to Calculate Your Break-Even Number

Do you know exactly how many client visits or class spots your business needs each week just to break even?

A full schedule doesn’t necessarily mean a profitable business.

In this episode of the Female emPOWERed Podcast, Christa Gurka walks you step-by-step through how to calculate your break-even number—and then use that number to determine how many visits, sessions, or class spots you actually need each week to cover your expenses and reach your profit goals.

Whether you own a Pilates studio, physical therapy practice, boutique fitness studio, or wellness business, understanding this number can completely change the way you make decisions about pricing, hiring, scheduling, capacity, and growth.

    In This Episode, You’ll Learn:

    • What your break-even number is and why every business owner should know it

    • Why being busy is NOT the same as being profitable

    • How to use your P&L to calculate your average monthly expenses

    • How to determine how many visits you need each week to break even

    • How to calculate break-even for appointment-based and class-based businesses

    • Why your current schedule may not even have enough capacity to reach break-even

    • How to calculate the revenue needed to reach your desired profit margin

    • Why average revenue per class or session matters

    • How unlimited Pilates memberships can dramatically lower your average revenue per visit

    • How utilization, pricing, payroll, and expenses affect profitability

    • Why your break-even number should be reviewed regularly

    • How knowing your numbers makes hiring, pricing, and expansion decisions easier

    The Basic Break-Even Formula

Start with your total operating expenses from your profit and loss statement.

Remove any major one-time capital expenses, then calculate your average monthly operating expenses.

That gives you your approximate monthly break-even revenue.

Next, divide that number by your average revenue per session or class to determine how many visits you need each month.

Then divide by 4.3 to determine approximately how many visits you need each week.

That weekly number becomes one of the most important metrics in your business.

Break-Even Is Your Floor—Not Your Goal

Breaking even means your expenses are covered. It does not mean your business is profitable.

Christa recommends also calculating what your numbers would need to look like with a healthy profit margin, using 15% as an example goal in this episode.

Once you know your break-even, goal, and even stretch-goal numbers, you can make much more objective decisions about your business.

Do you need to raise prices?

    Increase utilization?

    Reduce expenses?

    Hire another practitioner?

    Add classes?

    Increase capacity?

    Change your membership structure?

Instead of guessing, you can use the numbers to tell you where the real problem—and opportunity—exists.

    Key Takeaway

You can’t hit a target you’ve never set.

Knowing your annual revenue goal isn’t enough. You need to understand exactly what has to happen each week for your business to cover its expenses and produce the profit you want.

When you know your break-even number, your business decisions stop being based on feelings and start being based on facts.

Stop guessing. Know your numbers, understand your capacity, and give your entire team a measurable target they can help achieve.
